Executive Assistant, Chicago, IL (On-site)
A luxury consumer goods organization is seeking a highly organized and proactive Executive Assistant to support a dynamic Founder across daily operations, client engagement, and business initiatives. This hands-on role offers direct exposure to a growing business, working closely with the Founder and collaborating with partnering teams, marketing, and operations. Responsibilities
- Manage the Founder’s calendar, scheduling, and day-to-day priorities through Outlook.
- Coordinate and adjust travel arrangements, including flights, accommodations, and itineraries.
- Monitor and manage inbox communications, responding to time-sensitive matters and flagging priorities.
- Support client follow-up and relationship management, ensuring a high level of responsiveness and service.
- Assist with the preparation of quotes, proposals, presentations, and order materials.
- Maintain and organize digital files, CRM systems, and shared databases.
- Handle local errands and assist with both business and occasional personal logistics.
- Partner with partnering teams, vendors, and marketing to support ongoing initiatives.
- Assist with event coordination, including marketing events, client gifting, and light social media support.
- Provide administrative support for nonprofit and board involvement.
- Anticipate needs, identify potential issues, and proactively offer solutions to keep priorities on track.
Ideal Experience
- College degree is preferred.
- 2+ years of experience supporting a founder, executive, or small business leader.
- Strong organizational skills with the ability to manage multiple priorities simultaneously.
- Clear communicator with a professional, client-facing demeanor.
- Comfortable working in a fast-moving, entrepreneurial environment.
- Tech-savvy, with proficiency in Outlook, CRM tools, Dropbox, and general digital platforms.
