Executive Assistant to the CEO, Chicago, IL (Hybrid)
An outstanding consulting firm is seeking an experienced Executive Assistant to support its Chief Executive Officer. This is a high-impact role that serves as a trusted partner to the CEO, providing exceptional support across a dynamic schedule, business priorities, travel, and client commitments.
The Executive Assistant will manage the CEO’s calendar and day-to-day logistics with a high level of discretion, accuracy, and attention to detail. This individual will ensure that meetings, events, travel, and follow-up items are thoughtfully coordinated, clearly communicated, and fully documented. Responsibilities
- Manage the CEO’s complex calendar, including scheduling meetings and events, coordinating changes, and preparing daily briefings with a high level of discretion and confidentiality.
- Maintain and manage the CEO’s weekly priorities and action items, providing status updates on calls, meetings, and follow-ups and ensuring supporting materials are organized and readily available.
- Serve as a key liaison on behalf of the CEO, coordinating with current and prospective clients to schedule meetings and support business development activities.
- Coordinate business development travel, including detailed itineraries, meeting schedules, transportation, and all related logistics.
- Draft and send correspondence on behalf of the CEO using the CEO’s email alias, as needed.
- Develop polished, customized pitch books, presentations, and PowerPoint materials for client and business development activities.
- Organize and manage sensitive documents and information across both physical and electronic formats, including printing, messenger services, hotel deliveries, and preparation of document packets.
- Plan and execute special events and client engagements from start to finish, including venue selection, contract coordination, catering, logistics, and on-site details.
- Manage all domestic and international travel arrangements for the CEO, including flights, hotels, ground transportation, and comprehensive itineraries.
- Track and reconcile CEO travel expenses, manage vendor invoices, and provide weekly updates and documentation to the accounting team.
- Conduct research, compile information, and prepare reports and presentations to support the CEO’s business needs and priorities.
- Maintain accurate, up-to-date records in the company database and other internal systems.
- Coordinate personal travel and related logistics for the CEO’s family, as needed.
Ideal Experience
- 7–10 years of experience supporting a C-suite executive, preferably in a high-touch, fast-paced environment.
- Flexibility to work outside of standard business hours, including occasional weekends, based on the CEO’s needs.
- Highly service-oriented with exceptional attention to detail, accuracy, and follow-through.
- Strong written and verbal communication skills with the ability to interact professionally with internal teams, clients, candidates, and other external partners.
- Proven ability to manage multiple priorities, shift gears quickly, and remain composed in a fast-paced environment.
- Energetic, proactive, and solutions-oriented, with a strong sense of urgency and unquestionable integrity.
- Naturally anticipates needs, thinks several steps ahead, and takes initiative to keep the CEO prepared and organized.
- Advanced proficiency in Microsoft Office, particularly Word and PowerPoint, with the ability to create, format, and refine polished, executive-level materials.
