Staff Accountant, Chicago, IL (On-site), Temporary-to-Hire
We are looking for a Staff Accountant to play a key role in managing the daily financial operations of a boutique law firm. This role will encompass a variety of tasks, from ensuring the accuracy of banking transactions and entries to supporting staff and attorneys in maintaining precise client files. In addition, this role includes handling payroll administration, managing tax processes, and preparing reports. Responsibilities
- Manage online banking for accuracy and fraud prevention. Verify bank fraud alerts for approval or rejection.
- Process bank deposits, account transfers, add vendors and prepare client ACH payments, prepare and process checks to positive pay, and respond to check inquiries.
- Prepare and record deposits/payments, correct entries to client matters, create bills and process all write-offs.
- Train legal assistants/paralegals in accounting procedures and processing settlements.
- Review and process trust and operating bank reconciliations in Filevine/QuickBooks.
- Preparing bi-weekly payroll and verifying PTO entries for accuracy and timeliness.
- Managing payroll deductions for transit and other employee benefits.
- Prepare year-end bonus payroll as a special payroll in Paylocity.
- Assist with HR support including onboarding/offboarding in Paylocity as well as Open Enrollment.
- Tracking insurance policies and renewals to ensure timely payment for premiums.
- Prepare and process Annual Sales & Use Tax for the City of Chicago and quarterly State of Illinois.
- Manage EOY tax forms W-2 and/or 1099-MISC for employees and attorneys.
- Monthly review and reconciliation of credit card accounts.
- Prepare monthly/quarterly financial reports for Senior Management and CPA.
- Prepare detailed reports for EOY anticipated settlements and costs. Report to Senior Management about EOY reports.
- Process account adjustments for EOY financial activities, meet with auditor to analyze data, and make adjustments.
- Apply strong accounting skills, including A/P, A/R, purchasing backup, journal entries, and all bookkeeping through financial statement preparation.
- Demonstrate a high level of professionalism and discretion. Perform other duties as assigned.
- Prepare and submit monthly/quarterly 401K reports and process Journal Entries.
- Process Journal Entries of 401k transfers and wire to record transactions in a database.
Ideal Experience
- Associate Degree required; some college preferred with 1+ years of experience.
- Background with multiple years of experience in various accounting duties, with a preference for experience in payroll and tax preparation.
- Basic knowledge of accounting and banking software.
- Intermediate knowledge of Windows, Excel, and Word, and how to work with PDFs.
- Basic knowledge of Microsoft Office Suite functions.
- Must have Bookkeeping, Accounting, Microsoft Excel, and QuickBooks.
